As urgent and important tasks compete for our attention I use the Eisenhower Matrix to help me sort tasks by urgency and importance, focusing on the important ones that align with my long-term goals. 

This helps me clarify my priorities and tackle tasks that yield the most significant results.

Plan And Schedule

As well as a comprehensive to-do list, set deadlines and time limits for each task so that you  can manage your daily workload efficiently. 

Forward thinking by scheduling meetings for the upcoming week on a Friday and then estimating the remaining time available in the week can be a good way to allocate your hours to work.

Always leave some time for contingency as there’s always some work/meetings that come up within the working week.

Use Tools And Techniques

I allocate tasks that will take an hour or more into my digital calendar to give me time to focus and prevent meetings being placed over that timeframe.

If your company has them, project management tools like JIRA, can also help track deadlines and delegate tasks. 

Techniques like the Pomodoro Method are useful to boost concentration by breaking work into intervals, promoting frequent breaks to sustain energy.

I find when doing this that each subsequent task that I’ve grouped becomes a little bit easier as I’ve framed my mind to work on something that has a pattern to it.

This can often be true when updating data in an Excel spreadsheet or uploading a batch of blog posts for example!

Immerse yourself in these batched tasks for a couple of hours and once you get into your flow you can find you’ve breezed through a good part of your to do list.

I like to pause Slack and email notifications for a couple of hours to allow me to get through chunkier pieces of work.
